Position Summary

The Bookkeeper / Data Entry Specialist plays a critical role in maintaining accurate and up-to-date financial data for our firm and our clients. This dual-role position involves entering and organizing financial information, reconciling accounts, and supporting the tax preparation process. Ideal candidates are highly organized, self-motivated, and comfortable working with sensitive financial data.

Key Responsibilities

  • Enter financial transactions and data into accounting software (QuickBooks Online/Desktop)
  • Organize and categorize expenses, income, and receipts
  • Perform bank and credit card reconciliations
  • Maintain accurate and timely general ledger postings
  • Prepare basic financial reports and summaries
  • Assist with year-end closeouts and tax season preparation
  • Maintain digital filing systems for client documents
  • Communicate with clients to gather documentation or clarify entries
  • Ensure accuracy and completeness of records
  • Support CPAs and tax preparers with clean, organized data

Qualifications

  • Must have a minimum of 2–3 years of bookkeeping or data entry experience (preferably in a tax or accounting environment)
  • Must be authorized to work in Canada without sponsorship
  • Must be currently living within a 50 mile radius of Dublin, ON or able to reliably commute
  • Must be willing to undergo a background check in accordance with local law and regulations
  • Proficiency with QuickBooks and Microsoft Excel
  • Strong organizational skills and attention to detail
  • High level of accuracy in data entry
  • Ability to work independently and manage multiple priorities
  • Discretion and professionalism when handling confidential client information
  • Experience working in a tax or CPA firm is a plus

Preferred Skills

  • Familiarity with tax documentation (e.g., 1099s, W-2s, bank statements)
  • Experience managing books for multiple clients
  • Knowledge of other platforms such as Xero, Drake, or Lacerte is a bonus
  • Comfortable using cloud-based file storage (e.g., Google Drive, Dropbox)
