Key Responsibilities:

Tenant & Customer Service Support

  • Serve as the first point of contact for basic tenant inquiries and concerns.
  • Issue and track tenant work orders to ensure timely resolution.
  • Communicate with tenants regarding late fees, lease amendments, and other financial matters.
  • Facilitate move-in and move-out walkthroughs to ensure smooth transitions for tenants.
  • Coordinate tenant onboarding, including key/fob distribution and new signage setup.
  • Distribute tenant statements on a monthly basis.

Property Management & Operational Support

  • Monitor and follow up on current vendor work orders.
  • Assist in organizing property events and community engagement initiatives.
  • Oversee printer and scanner administration for office needs.
  • Order and manage office supplies inventory.
  • Assist in maintaining lease proposals and amendments.
  • Send out pending lease approvals to managers for review.
  • Assist with minor software troubleshooting for tenants and staff.

Financial & Lease Administration

  • Collect and apply tenant rent payments accurately.
  • Verify apartment leases and payroll-related lease details.
  • Run final reports after reviewing all lease agreements.
  • Process and send received invoices to AVID for approval.
  • Assist in sending eviction notices and coordinating legal paperwork as needed.

Employee & Community Engagement

  • Recognize employee anniversaries and send birthday cards.
  • Track and coordinate life-changing event acknowledgments for staff and tenants.
  • Support event planning committees and assist with logistics for company functions.

Administrative & Compliance Support

  • Ensure proper filing and mailing of invoices and other property-related documents.
  • Send in payroll-related information as required.
  • Serve as the office Notary Public.
  • Answer incoming calls and provide assistance as needed.
  • Assist with onboarding of new employees, including setup and initial support.
