Job Description

The Sales Support Administrator serves as the primary administrative contact for customers, vendors, and staff, ensuring professional and timely communication across all channels. This role manages the customer experience from first contact through project completion, supports the sales team, and oversees office organization and documentation.

Core Responsibilities

Customer Communication & Experience Management

  • Serve as the primary administrative point of contact for customers, vendors, and internal staff, ensuring all interactions are professional, courteous, and timely.

  • Greet visitors, answer and direct calls, and respond to inquiries from phone, email, web leads, Podium, and other channels, with follow-up completed within established timeframes (typically within 15 minutes to 1 hour).

  • Manage inbound leads, document communications, track resolution of requests, and handle complaints or follow-ups in a professional manner.

  • Oversee the customer experience from first contact through project completion, ensuring proactive communication, smooth coordination, and high satisfaction.

  • Coordinate on-call schedules and maintain effective communication with the answering service to ensure availability.

  • Monitor customer feedback and work with leadership to implement improvements that enhance service quality and loyalty.

  • Maintain cleanliness and organization of the front office, conference rooms, and reception areas.

Appointment Scheduling & Calendar Management

  • Schedule and coordinate appointments, meetings, and conferences.

  • Maintain accurate calendars and resolve scheduling conflicts.

  • Send timely reminders and notifications for upcoming events.

AccuLynx Communication & Task Management

  • Oversee all communications in AccuLynx, ensuring every message and inquiry receives a timely response.

  • Create, assign, and manage reminders and tasks to track open items through completion.

  • Review Acculynx Activity Feed consistently to stay current on new entries and updates.

  • Follow up proactively on outstanding actions to prevent anything from falling through the cracks.

Sales Team Support

  • Schedule and coordinate sales appointments, meetings, and conferences.

  • Obtain aerial measurements and storm data as requested.

  • Provide sales staff with information and access to clients’ prior project records.

  • Collaborate with sales staff to ensure lead milestones are accurate and that the lead moves promptly and smoothly through the sales process.

  • Track and follow up on leads, inspections, and bids to maintain momentum.

  • Support customer contact efforts as requested by management and the sales team.

  • Assist with administrative tasks for job approvals, including required documentation and customer communication.

  • Dead lead revival/customer reconnection campaign to re-engage leads that have gone cold. Commission can be earned if these are revived.

Document & Office Administration

  • Manage the organization and maintenance of all company records, both physical and electronic, ensuring accuracy, confidentiality, and easy retrieval.

  • Develop and maintain efficient filing systems, document templates, and naming conventions to support consistency and accessibility.

  • Prepare, proofread, and format business documents, reports, and presentations to company standards.

  • Monitor inventory of office supplies, sales materials, brochures, and samples; proactively reorder to ensure adequate stock.

  • Provide administrative support across departments, including document scanning, photocopying, and other clerical tasks as needed

Skills:

  • High school diploma or equivalent (additional education or certification in office administration is a plus).

  • Proven experience as an administrative assistant or in a similar role.

  • Excellent verbal and written communication skills.

  3. Ability to send clear and mistake-free written communications

  4. Outstanding phone demeanor and tone

  • Strong organizational and multitasking abilities.

  • Proficiency in using office software such as Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Detail-oriented with strong problem-solving skills.

  • Exceptional customer service skills and a friendly, upbeat demeanor.

  • Ability to maintain confidentiality and handle sensitive information.

  • Knowledge of inventory management principles and basic spreadsheet functions.

  • Self-motivated with the ability to work independently and collaboratively in a team environment.

  • Sales experience strongly preferred, knowledge of sales processes is helpful to effectively support and re-engage leads.

 

Pay and Benefits:

This is a salary paid position with bonus potential.

 

The salary rate is dependent on the experience of the candidate and will be discussed on a personal basis with the applicant.
