The Role This position provides high level administrative support to a Partner in our firm. The primary duties of the Executive Assistant include organizing and coordinating the Partners' day-to-day schedules and communications and anticipating their needs in a proactive way. The position requires someone who is detail-oriented, organized, and excels in situations with conflicting or fast-approaching deadlines. The firm seeks candidates who work well with multiple lawyers in a collaborative environment. Ideal candidates have a proven track record of strong work ethic and sense of professionalism, discretion, accountability, integrity, good judgment, and commitment. This is a part-time, hourly, non-exempt position, requiring 15 to 19 hours per week. The schedule is flexible and may vary based on workload and business needs. While most responsibilities can be performed remotely, some in-person work will be required. The initial expectation is to work in-office once per week, with the possibility of adjustments over time. Duties/Responsibilities: Executive & Administrative Support Serve as a point of contact for the Partner, and assist with professional and personal communications, ensuring timely responses, and prioritizing urgent matters. Maintain and coordinate the Partner’s Outlook calendar, scheduling meetings, appointments, and travel while proactively resolving scheduling conflicts. Schedule and set up in-person and virtual meetings, securing conference rooms, video conferencing links, and necessary materials. Input and track the Partner’s billable time daily using the firm’s time entry software, ensuring accuracy and completeness. Prepare, reconcile, and submit Partner expense reports. Travel Management Coordinate domestic and international travel, including booking flights, hotels, ground transportation, and handling last-minute changes. Maintain detailed travel itineraries and provide real-time support for any travel disruptions. Technology & Office Support Troubleshoot minor IT and technical issues (e.g., password resets, software access, and video conferencing setup) before escalating to IT support. Personal Assistance & Errands Handle personal tasks such as purchasing office supplies, running small errands, or coordinating deliveries as needed. Assist with the Partner’s professional memberships, subscriptions, and other administrative tasks related to external affiliations. Other Responsibilities Maintain strict confidentiality of sensitive client and firm information. Perform other administrative and organizational duties as assigned. Skills/Qualifications: Prior experience providing support to senior level management in professional services or law firm is highly preferred. Attention to detail and ability to follow through on assignments until results are achieved. Excellent verbal and written communication skills. Excellent interpersonal communication skills: Demonstrates exceptional proficiency in effectively communicating with individuals, particularly in high-stress scenarios, and fosters positive and productive interactions. Ability to learn new technologies. Excellent customer service skills. Proficiency in Microsoft Office Suite or related software.
